Leads: statuses, SLA, nurture & enrichment
Everything that happens to a lead between arriving and becoming a customer — and the machinery that makes sure none of it depends on somebody remembering.
The Leads page
Leads (sidebar) lists every lead across your ventures: filter by venture, status, source, owner and date; sort any column; search by name, email or company. Click a row to open the lead's own page — notes, follow-ups, emails, related records, and quick actions.
Statuses — yours to define
Leads → Manage statuses lets you rename, recolour, reorder, add and remove statuses. Three are locked (renameable, not removable) because the product reads meaning into them:
- Converted — the lead became a customer.
- Lost — closed out.
- Spam — see below.
Spam
Spam is a status, not a deletion: marked leads leave the working list (filter Status → Spam to review them) but keep their history.
The filter learns two ways:
- Your blocklist (Leads → Spam rules): block an email address, a whole domain, or a source. Anything matching arrives already marked, with the rule named on the lead. Marking a lead as spam on its page offers to add the rule for you.
- Source reputation: when most of a source's recent leads (at least 5 in 90 days, 60%+) were marked spam by you, its next leads arrive flagged — with the ratio spelled out, so you can disagree. Unmark some and the source recovers.
Throwaway inboxes (mailinator and the like) are flagged outright. A status a person set by hand is never overruled.
Response-time SLA
Per venture, in the venture's Settings tab: Lead response time. Set it to e.g. 4 hours and any lead nobody contacted within the window is flagged — once — in Triage, and on the Leads page (an SLA breached chip, and a red clock on the row until someone makes contact).
"Contacted" means any of: an email sent to the lead, a logged call/meeting/ email note, the status leaving New, or a task about the lead completed.
Nurture sequences
Nurture (sidebar) holds your standing follow-ups. A sequence is a series of timed steps for one venture — send an email, create a task, notify the owner — with rules for who enters and when it stops.
"No reply in 3 days → follow up" is one sequence with two steps: enroll when a lead arrives, email now, wait 3 days, email again.
A sequence stops itself the moment the lead replies, converts, is lost, is marked spam, or unsubscribes — checked again right before every send, so the machine never emails someone who already answered. Every email carries an unsubscribe link automatically.
Emails send only during business hours (Mon–Fri 9:00–18:00, your timezone) by default, from your branded sender. Each lead's page shows where it stands in a sequence, with a button to take it out.
Personalising with tags
Write a tag in a subject or body and each lead gets their own version:
| Tag | Becomes |
|---|---|
| The lead's first name — Jane |
| Their full name — Jane Doe |
| Their company — Acme Inc |
| Your venture's name |
| Their email address |
So "Hi , thanks for reaching out to " sends as "Hi Jane, thanks for reaching out to Acme SaaS". A lead with no name gets "there" instead — never a blank. The chips under each email step insert the tags for you.
Trying a sequence out
- Create the sequence, tick Active, keep the trigger when a lead arrives.
- Add a lead in that venture with your own email address (venture → Leads tab → Add, or submit your own public form).
- The first step sends on the next 15-minute cycle — within the business-hours window, so untick that first if you're testing at night.
- Watch the lead's page: the Nurture chip shows the step advancing, and the sequence's card on the Nurture page counts it under active.
- Reply to the email: on the next cycle the enrollment exits as replied — this requires a connected mailbox (Settings → Email) so Kordox sees the reply. Without one, the other exits (status change, unsubscribe) still work.
Enrichment
Lead Engine → Integrations → Lead enrichment fills in a lead's industry, company size, location and LinkedIn from its email domain, automatically on arrival. You bring an API key from Apollo.io or People Data Labs (both have free tiers); what the person typed in a form is never overwritten.
Free-mail domains (gmail, outlook…) are never looked up, answers are cached so repeat domains cost nothing, and the monthly cap you set is a hard stop with a visible counter.
